REFUND AND CANCELLATION POLICY

At PC House Solutions, we are committed to providing reliable, professional and quality products and services. This Refund and Cancellation Policy explains the circumstances under which customers may cancel services, request refunds or return products.


This policy applies to services and products purchased directly from PC House Solutions, whether online, in-store, by telephone, WhatsApp, email or other approved communication channels.


1. SERVICE CANCELLATIONS


Customers may request cancellation of a service before work has commenced.


Where work has already commenced, the cancellation may be subject to a reasonable cancellation charge based on the work already completed, materials purchased, third-party costs incurred and other reasonable expenses.


Where a service has been fully completed, no refund will generally be provided solely because the customer has changed their mind, subject to any rights provided by applicable South African consumer legislation.


2. DEPOSITS AND ADVANCE PAYMENTS


Certain services may require a deposit or full payment before work begins.


Deposits may be used to cover materials, parts, third-party services, administrative costs or work scheduled specifically for the customer.


If a customer cancels an order or service, PC House Solutions may retain a reasonable amount from the deposit to cover costs already incurred. Any remaining refundable balance will be processed in accordance with this policy and applicable law.


3. COMPUTER AND LAPTOP REPAIRS


For repairs, customers will be informed of the estimated repair cost before major work proceeds where reasonably possible.


If a customer cancels a repair after diagnosis, testing or repair work has already been performed, charges may apply for the diagnostic assessment, labour, parts or other services already provided.


If a special-order part has already been purchased specifically for the customer's device, the customer may be responsible for the cost of that part where it cannot reasonably be returned or cancelled.


4. SCREEN REPLACEMENTS AND SPECIAL-ORDER PARTS


Screen replacements, laptop parts and other components ordered specifically for a customer may be subject to the supplier's return conditions.


Once a special-order part has been purchased or installed, cancellation may not be possible where the part cannot reasonably be returned to the supplier.


Customers should confirm the device model and required repair before payment is made.


5. BUSINESS REGISTRATION AND ADMINISTRATIVE SERVICES


For services such as:


Company registrations

Director amendments

Beneficial ownership submissions

CSD registrations

Annual returns

Company reinstatements

Other CIPC or government-related submissions


customers are responsible for providing accurate and complete information and supporting documentation.


Once PC House Solutions has commenced processing, prepared documentation or submitted an application to a third party or government authority, the service may not be refundable simply because the customer changes their mind or supplied incorrect information.


Third-party or government fees already paid on behalf of the customer may also be non-refundable, subject to the applicable authority's refund rules.


6. CUSTOMER-PROVIDED INFORMATION


Customers are responsible for ensuring that all information, documents, passwords, contact details and other information supplied to PC House Solutions are correct and complete.


PC House Solutions will not be responsible for delays, rejection or additional costs caused by incorrect, incomplete or outdated information supplied by the customer.


Where additional work is required because of incorrect information supplied by the customer, additional charges may apply.


7. DEFECTIVE PRODUCTS OR UNSATISFACTORY SERVICES


Nothing in this policy is intended to limit or remove any rights a customer may have under applicable South African consumer-protection legislation.


Where a product is defective or a service does not meet applicable legal requirements, PC House Solutions will assess the matter and provide an appropriate remedy where required by law.


The Consumer Protection Act provides consumer remedies in circumstances involving defective goods and unsatisfactory services.


8. REFUND REQUESTS


Refund requests should be submitted to PC House Solutions in writing and should include:


Customer name

Contact details

Invoice or order number

Date of purchase

Description of the service or product

Reason for the refund request

Proof of payment where applicable


PC House Solutions may request additional information or inspect a product before approving a refund.


9. REFUND PROCESSING


Approved refunds will generally be processed using the original payment method where reasonably possible.


The time taken for the funds to reflect in the customer's account may depend on the payment provider or financial institution.


Where a refund is required by applicable law, PC House Solutions will process the refund within the period prescribed by law.


10. CANCELLATION OF ADVANCE BOOKINGS AND ORDERS


Customers have rights to cancel advance bookings, reservations or orders subject to applicable law.


Where permitted, PC House Solutions may charge a reasonable cancellation fee based on factors including:


The amount of notice provided;

Work already completed;

Materials or parts purchased;

Third-party costs incurred;

The nature of the service;

The possibility of reallocating the booking to another customer.


Cancellation charges will not be applied in a manner that unlawfully limits a customer's rights.


The South African Consumer Protection Act specifically provides for cancellation of advance bookings, reservations and orders and requires cancellation charges to be reasonable in the circumstances.


11. NO-SHOWS AND MISSED APPOINTMENTS


Customers who fail to attend a scheduled appointment without reasonable notice may be charged a reasonable cancellation or call-out fee where applicable.


Customers are encouraged to notify PC House Solutions as soon as possible if they are unable to attend an appointment.


12. THIRD-PARTY SERVICES


Some PC House Solutions services may involve third-party providers, suppliers, government departments or other external platforms.


Where a third party has already charged a fee or commenced processing, PC House Solutions may be unable to recover that amount.


Any refund relating to third-party fees will therefore be subject to the applicable third party's terms and refund procedures.


13. FRAUDULENT OR UNAUTHORISED TRANSACTIONS


PC House Solutions reserves the right to investigate transactions that appear fraudulent, unauthorised or suspicious.


Refunds may be withheld while an investigation is being conducted, subject to applicable law.


14. POLICY EXCLUSIONS


This policy does not exclude or limit any rights that cannot legally be excluded or limited under South African law.


Where there is a conflict between this policy and applicable legislation, the applicable legislation will take precedence.
